PCEA Chogoria Hospital was established in 1922 and serves as a referral and teaching Hospital. It has a 295 bed capacity that focuses on the provision of Curative, Preventive and Promotive Health Care services in Tharaka Nithi County and the greater Meru, Embu and as far as Isiolo and Marsabit Counties.

The Hospital is recruiting competent and mature Christian professionals to fill the following vacant position:


Reporting to the CCC Coordinator, the Health Records Information Officer II will be responsible for providing support to the Hospital’s CCC in medical documentation, data management, data analysis and reporting.

Duties & Responsibilities.

  • Ensure availability of necessary data collection and reporting tools at the facility. This will include patient cards/files, registers, reporting tools, databases
  • Daily patient registration in electronic medical records system-Sanitas/IQ Care.
  • Ensure the facility EMR is up-to-date and perform regular back-up of EMRs
  • Verify data based on MOH-NASCOP defined service standards
  • Support and mentor health workers on data utilization for decision making.
  • Responsible for ensuring data quality is maintained.
  • DQA-Review data prior to submission to CHAK/uploading into DHIS
  • Actively follow-up the facility to ensure that commonly agreed data management improvement plans are followed and monitored by all parties.
  • Ensure all required data summaries and facility reports are complete, accurate and timely.
  • Support the facility to maintain data confidentiality and security.
  • Support the facility to use data for decision making.
  • Advocate for DDIU (Data Demand and Information Use)
  • Data reporting consistency.
  • Analyze monthly report flagging issues that need action and present to the team before submitting reports.
  • Assist team to present STOC for presentation 
  • Provide monthly statistics of patients visiting OPD, MCH and causality/other clinics (lamped together) and wards  
  • Other duties as assigned by supervisor from time to time.

Required Minimum Qualifications and Skills.

  • Be a Kenyan citizen.  
  • Be a holder of at least a Diploma in Health Records and Information Technology or any other relevant and equivalent qualification from a recognized institution.
  • Registered with the Association of Medical Records of Kenya     
  • Work experience as an HRIO at a health setting preferably Comprehensive Care Clinic (CCC)
  • Work experience with EMRs/IQCare at a health setting is an added advantage.
  • Working knowledge of DATIM and PEPFAR reporting systems is an added advantage.
  • Experience in IQ tools, MySQL, SQL Server is an added advantage.
  • Proficiency in computer applications and efficient data entry skills
  • Should have good interpersonal and communication skills (both verbal and written)
  • Ability to work under pressure with minimal supervision.
  • Must be a mature practicing Christian
